Terms of Service

General terms for the DiplomaticOne website, demonstrations, software and managed-service activities.

1. Scope

These Terms of Service apply to use of the DiplomaticOne website and, unless a separate written agreement says otherwise, to DiplomaticOne software, demonstrations, implementation and managed services. A signed proposal, order, service agreement, confidentiality agreement or other specific written arrangement takes priority over these general terms if there is a conflict.

2. Demonstrations, evaluations and proposals

A demonstration, discussion, quotation or proposal does not create a purchase obligation unless the parties enter into an agreed commercial arrangement. Product descriptions and roadmap items are informational; features identified as in development are not commitments unless expressly included in a written agreement.

3. Authorized use

DiplomaticOne is intended for authorized organizational use. The customer is responsible for ensuring that people who connect mailboxes, configure routing, review messages or use administrative functions have appropriate authority to do so. Users must not use DiplomaticOne to access accounts or information without permission, distribute unlawful content, send spam, circumvent provider restrictions or interfere with security controls.

4. Customer responsibilities

The customer remains responsible for its accounts, provider subscriptions, user permissions, device security, backups, internal policies, routing decisions and the accuracy of configuration information supplied to DiplomaticOne. The customer should promptly remove or revoke access when staff, responsibilities or credentials change.

5. Automation and human oversight

DiplomaticOne automates routine office processes and assists users with classification, routing, review, calendar extraction and related workflows. Automated output can be incomplete or incorrect. The customer remains responsible for decisions requiring legal, diplomatic, policy, security or other professional judgment and for reviewing workflows appropriate to its risk profile.

Email Router does not replace the underlying mail provider. Actions such as forwarding, sending or changing message state occur through the connected provider according to the office's configuration and authorized user actions.

6. Third-party providers and integrations

DiplomaticOne may depend on third-party services such as Google Workspace, Gmail, Microsoft 365, Infomaniak, other mail providers, operating-system services and website infrastructure. Those services are governed by their own terms, availability, security controls and technical limits. Changes made by a provider may require DiplomaticOne updates or customer reauthorization.

7. Confidentiality and customer data

Operational information and customer data remain the customer's information. DiplomaticOne does not acquire ownership of customer mailbox content merely because the software processes it. Where a separate confidentiality agreement or NDA applies, that agreement governs confidential information and any authorized support access.

8. Intellectual property

DiplomaticOne software, website content, branding, designs and product materials remain the intellectual property of their respective owners. A customer receives only the right to use the software and services within the scope of the applicable agreement. Customer data, customer-created rules and customer-owned materials remain with the customer.

9. Commercial terms

Prices, implementation fees, subscription periods, payment timing, included support, cancellation notice and any special deployment conditions are defined in the applicable proposal, order or service agreement. Website pricing and package descriptions are general information and may be superseded by a tailored written proposal.

10. Availability, maintenance and support

DiplomaticOne aims to provide reliable software and managed support but does not promise uninterrupted operation. Maintenance, updates, provider outages, network conditions, operating-system restrictions or third-party changes may temporarily affect functionality. Supported updates and troubleshooting are provided within the scope of the applicable service arrangement.

11. Responsibility and liability

To the extent permitted by applicable law and subject to any specific written agreement, DiplomaticOne is provided as an office-support tool and is not a substitute for professional judgment, independent verification or organizational controls. Neither these terms nor the website create guarantees beyond those expressly agreed in writing.

Any limitations of liability, warranties, indemnities or governing-law provisions agreed for a paid deployment should be set out in the applicable proposal or service agreement.

12. Ending service and access

When service ends, the parties should follow the transition, access-removal, cancellation and data-handling arrangements in the applicable agreement. Customers remain responsible for revoking provider authorizations and credentials that are no longer required and for retaining or removing local data according to their own policies.

13. Changes to these terms

We may update these general terms as the website, products or service model evolve. The effective date at the top of this page identifies the current public version. Existing signed agreements are not changed merely by updating this webpage unless the agreement itself provides otherwise.
