Email Router — secure email workflow and calendar synchronization for diplomatic missions.
DiplomaticOne Email Router is a Windows desktop productivity application for diplomatic missions and international offices. An authorized user can connect an email account, classify and organize incoming correspondence, apply office-defined routing rules, surface uncertain messages for Human Review, send authorized forwards or messages, extract calendar information, and optionally synchronize Email Router events with Google Calendar. Email Router works with the user's existing mail provider and does not require the user to give DiplomaticOne their Google password.
What Email Router does
- Connects only to mailboxes that an authorized user chooses to configure.
- Reads incoming messages required for local classification, routing and Human Review.
- Uses organization-defined categories, recipients and routing rules.
- Can send or forward messages when the user-authorized workflow requires it.
- Maintains local operational history needed for review, retries and calendar synchronization.
- Can optionally synchronize Email Router events with a Google Calendar separately authorized by the user.
Google account integration
Google access is initiated only when the user chooses Connect with Google or connects Google Calendar. Email Router uses Google's OAuth authorization flow; the user's normal Google password is never entered into or stored by Email Router.
For Gmail, Email Router requests gmail.modify so it can read messages required for the routing workflow, send user-authorized forwards/messages, and update message state after processing.
Google Calendar is optional and separately authorized. Email Router requests calendar.events.owned to create, update and remove synchronized events on calendars owned by the connected user, and calendar.calendars.readonly to identify available calendars and read properties such as calendar name and time zone.
How Google user data is used
Gmail data is used only for the Email Router functions selected by the user or organization, including classification, routing, Human Review, authorized forwarding/sending, calendar extraction and message-state updates. Google Calendar data is used only to identify the connected calendar and synchronize corresponding Email Router events.
Email Router does not use Google access to scan unrelated Google products such as Google Drive or Google Photos.
Privacy, storage and user control
- Processing is local-first on the user's workstation.
- OAuth access and refresh tokens are stored locally for the connected Windows user.
- Google user data is not sold, rented or used for advertising.
- Google user data is not used to train general-purpose AI or machine-learning models.
- Users can disconnect accounts in Email Router or revoke access from their Google Account.
- Local application data can be removed using Email Router controls, uninstallation/data cleanup or authorized workstation administration.
