DIPLOMATICONE • EMAIL ROUTER

Organize authorized institutional email without replacing the people who make the decisions.

DiplomaticOne Email Router is a desktop application for diplomatic missions and international offices. After an authorized user connects a mailbox, it can classify incoming correspondence, apply office-defined routing rules, surface uncertain messages for Human Review, extract calendar information, and send authorized forwards. The application is designed to work with existing email systems rather than replacing them.

What the application does

  • Monitors mailboxes only after an authorized user configures them.
  • Reads incoming messages needed for local classification and routing.
  • Uses mission-defined categories, recipients and Human Review.
  • Can send or forward messages when the configured workflow requires it.
  • Maintains local operational records needed for review, history and retry functions.

Why Gmail access is requested

For Gmail and Google Workspace, Email Router uses Google OAuth and requests gmail.modify. The permission is used only for the user-facing Email Router workflow: reading authorized incoming mail, sending authorized forwards/messages, and updating message state after processing.

  • Google access starts only after user consent.
  • Processing is local-first on the user's workstation.
  • Google user data is not sold or used for advertising.
  • Google user data is not used to train general-purpose AI/ML models.

What data may be processed

Depending on the enabled feature, Email Router may process sender and recipient addresses, subject, message body, date, message/thread identifiers, read/label state, supported attachment content, routing decisions and calendar information extracted from correspondence.

User control

The user or organization chooses which mailbox to connect and which routing rules and recipients are configured. Google authorization can be revoked from the user's Google Account, and local mailbox/token data can be removed from the workstation. Full details are in the Privacy Policy.
